ProposalCreation

Proposal management software for teams that send a lot of proposals

When five, fifteen or fifty people write proposals, the problem is no longer writing. It is control: which version went out, who approved the discount, whether everyone used the current terms, and what happened after the client opened it. ProposalCreation keeps every proposal, quote and RFP response in one workspace, with shared templates, a common content library, approval rules and team analytics.

How proposal management works in one workspace

  1. Set the standards once

brand styles, shared templates by industry and a content library with approved wording and prices.

  2. Let the team create

anyone drafts a proposal with AI from a brief, and the draft follows your standards automatically.

  3. Control what goes out

roles decide who can send, and approval rules hold discounts above your threshold for sign off.

  4. See the results

one list of every proposal with status, opens, time per section and signatures, filterable by owner and client.

Shared templates and one content library

Every team member starts from the same structure. Shared templates cover agency work, consulting, IT services, SaaS order forms, construction, events, grants, statements of work and RFP responses. The proposal content library holds reusable blocks: about us, team bios, case write-ups you own, legal terms and pricing items. When legal updates the terms or finance changes a price, the change is made once and every new proposal uses it.

  • Shared templates by industry
  • Reusable blocks with approved wording
  • One price catalog for the whole team
  • Brand styles applied to every draft

Roles and approval workflow before sending

Growth includes basic roles, so you decide who can create, edit and send. Business adds approval rules for discounts: set a threshold, and any proposal above it waits for an approver inside the app. The approver sees the original price, the discount and the comment, and approves or returns it. Enterprise adds custom roles, single sign on with SAML and an audit log that records approvals, sends and edits.

Team analytics on every proposal sent

The proposal list shows each document with its owner, client, value, status and last activity. Open notifications tell the owner when the client looks at it. Growth adds time per section, and Business adds forwarded views and automatic reminders for proposals nobody has opened. Managers filter by teammate, client or status to see which deals are waiting on a signature and which proposals were never opened. See how proposal tracking works in detail.

Version history and comments

Every edit is saved in version history, so you can compare drafts and restore an earlier one. Teammates leave comments on any section, and reviewers resolve them before approval. Nothing lives in an email attachment called final version two.

What a proposal manager gets from it

  • Consistent wording and prices across the whole team.
  • Approval control on discounts without slowing simple proposals.
  • One place for every proposal, quote and RFP response ever sent.
  • Faster turnaround, because the AI drafts from your own approved content.
  • Flat team plans with seats included, so adding a colleague does not change the price.
