ProposalCreation

AI quoting software that builds the quote and gets it signed

ProposalCreation turns a short description of the job into a complete quote: line items, quantities, optional add-ons the client can tick, discounts, taxes, recurring and one-off fees, all in your currency and your brand. Prices come from one shared catalog, discounts above your threshold wait for approval, and the client accepts the quote with a legally binding e-signature in the same link. You see when it was opened and which part was read.

Create a quote from a short description

Type what you sell, who the client is and the price or budget. The AI drafts the quote with a cover page and summary, builds the pricing table and lays out the terms, so you can check the structure before you create your account.

  • What you sell, for example "Website redesign and SEO retainer"
  • Who the client is
  • Price or budget in USD and a timeline
  • Tone of the cover letter

Your documents stay yours. We never train AI models on your proposals.

Why quotes go out late and with the wrong numbers

Most teams still build quotes by copying the last one. Someone opens an old spreadsheet, changes the client name, updates a few prices from memory, forgets the tax line, and exports a PDF that nobody can track. A colleague quotes the same service at last year's rate. A discount that should have been approved slips through. The client asks for a cheaper option and the whole document is rebuilt by hand. Quoting software exists to stop exactly this, and AI quoting software goes one step further: it writes the quote for you from the description of the job.

How AI quoting software builds a quote in four steps

Every quote follows the same path, whether it is a one-page estimate for a small job or a multi-year order form.

  1. Describe the job

what you sell, who the client is, the budget or the price list, and the timeline. Or paste the client's request.

  2. The AI builds the pricing table

it picks matching items from your shared price catalog, sets quantities from the scope, adds optional extras and applies your standard terms.

  3. Review and approve

adjust any line, rewrite the cover note with AI, and send discounts above the threshold to an approver.

  4. Send, track and sign

the client opens a web link, ticks the add-ons they want, sees the total update, and signs to accept.

Pricing tables with line items and quantities

The pricing table is the heart of every quote, so it works like a real quoting tool rather than a text box. Each line has a name, a description, a unit, a quantity, a unit price and a total. Lines can be grouped into phases or packages, and subtotals update as you edit. When the AI drafts a quote, it fills the table from your catalog and your inputs, and the scope section above it describes exactly the same items, so the words and the numbers never disagree.

Element What you control
Line items Name, description, unit, unit price, grouped by phase or package
Quantities Fixed by you or editable by the client within limits you set
Optional add-ons Extras the client can tick on or off before signing
Discounts Per line or on the whole quote, as a percentage or an amount
Taxes Tax rate per line or per quote, shown separately in the total
Fees Recurring fees (monthly, quarterly, yearly) and one-off fees side by side
Currency The currency of your offer, set per quote

Optional add-ons the client can tick

Give the client choices without sending three versions of the same quote. Mark any line as optional and the client sees a checkbox next to it in the web link. When they tick an extra, such as a maintenance retainer, a rush delivery or an additional training day, the total updates at once. The version they sign is the version they chose, and you see which add-ons were selected in the signed record. This works well for agencies selling retainers on top of a project, for IT firms offering support tiers and for contractors listing upgrades next to the base job.

Recurring and one-off fees in the same quote

Many offers mix a setup fee with a monthly service. The quote shows both clearly: one-off fees in one block, recurring fees with their billing period in another, and a summary that states what is due at signing and what repeats. These are the fees of your own offer to your client, written into the document your client signs. Quantities, discounts and taxes apply to both kinds of fee in the same way.

One shared price catalog for the whole team

Pricing items live in the content library as reusable blocks with a name, description, unit and price. The AI picks from that catalog when it drafts a quote, and teammates insert items from it by hand. When a price changes, you update it once and every new quote uses the new figure, so nobody quotes an old price from an old file. Growth includes a shared library for the team, and Business and Enterprise add approval rules on top of it.

Discount approval before the quote goes out

Set a threshold, for example any discount above 10 percent of the line or the quote total. When a teammate goes over it, the quote cannot be sent until an approver signs off inside the app. The approver sees the original price, the discount and the reason, and approves or sends it back with a comment. Approval rules for discounts are part of Business, and Enterprise adds custom roles, SSO and an audit log that records every approval.

E-signature accepts the quote

The client does not print, sign and scan. They open the link, review the quote, choose the add-ons and sign. Signatures are legally binding electronic signatures under the U.S. ESIGN Act and UETA, and every signed quote comes with an audit trail certificate that records who opened, viewed and signed, and when. You can add several signers and set a signing order, for example the client's operations lead first and finance second. E-signature is included in every plan.

Quote tracking that shows what the client read

After you send a quote, the guessing stops. You get a notification when the client opens it. Growth shows the time spent on each section, so you know whether they lingered on the pricing table or the terms. Business and Enterprise add forwarded views, which tell you when the quote reached someone new, and automatic reminders for quotes nobody has opened yet.

Quoting software for agencies, IT firms, SaaS teams and contractors

The same quote engine fits very different jobs.

  • Agencies quote a project plus a monthly retainer, with extra deliverables as optional add-ons.
  • IT services firms send managed services quotes with per-device quantities and support tiers.
  • SaaS sales teams send order forms with seats, a setup fee and annual terms. See sales quoting software.
  • Contractors and trades send job quotes with materials, labour and upgrades. See quoting software for small business.

Frequently asked questions about AI quoting software

Can the client choose optional items before signing?

Yes. Mark any line as optional and the client ticks it on or off in the web link. The total updates immediately and the signed version records exactly which add-ons were chosen.

Does the quote handle taxes, discounts and different currencies?

Yes. You set tax rates per line or per quote, apply discounts as a percentage or an amount, and choose the currency of each quote. Recurring and one-off fees are shown separately with a clear total.

How do we stop old prices from going out?

Keep your prices in the shared catalog. The AI and every teammate pick items from it, so a price change made once applies to every new quote. The shared library is part of Growth and higher plans.

Can a manager approve discounts before a quote is sent?

On Business and Enterprise you set a discount threshold. Quotes above it wait for an approver inside the app and cannot be sent until approved. Enterprise also records each approval in the audit log.

Is accepting a quote with e-signature legally binding?

Signatures are legally binding electronic signatures under the U.S. ESIGN Act and UETA, and each signed quote includes an audit trail certificate. For questions about a specific contract, ask your own legal advisor.

Can we create a quote from a CRM deal?

Yes. Growth connects HubSpot and Pipedrive, Business adds Salesforce, and every plan includes Zapier and webhooks. A quote created from a deal syncs its status back when it is opened and signed.
