Bid proposal template for contractors and service firms

A bid proposal is your formal price offer for a defined job, usually in answer to an invitation to bid, a request for quote or a tender with a deadline. The buyer compares several bids side by side, so yours has to state the scope you priced, the schedule, the exact numbers, what is excluded and how long the price holds. Use the template below for construction, facilities, landscaping, IT installation, cleaning and any other service job where the client asked for a written bid.

How to fill in the bid proposal template

Read the invitation to bid twice before you write a line. Match its terminology, its line items and its deadline exactly, and answer every mandatory form it lists, because a bid that skips one requirement is often rejected before the price is read.

  • Cover letter. Quote the solicitation number and the total price in the first paragraph. Evaluators sort dozens of bids and look for these two facts first.
  • Company qualifications. Include only licenses, insurance and projects that relate to this job. Attach certificates instead of describing them.
  • Understanding of the project. Restate the requirement in your own words. It proves you read the documents and catches misunderstandings before they become disputes.
  • Scope of work. Use quantities and specifications from the plans or the request so each line maps to a line in the pricing table.
  • Exclusions and assumptions. This is the section that protects your margin. List every item you did not price and every site condition you assumed.
  • Pricing. Follow the client's bid form if one exists. Show alternates on separate lines so the buyer can add or drop them without asking for a new bid.
  • Payment terms and validity. State retainage, billing cycle and how long material prices hold.

Common mistakes in bid proposals

  • Missing the submission deadline or the required format, which disqualifies the bid regardless of price.
  • A lump sum with no breakdown, so the buyer cannot compare your bid with others line by line.
  • No exclusions section, which turns every unexpected condition on site into unpaid work.
  • Pricing items in different units from the client's bid form.
  • An open-ended validity period while material prices change month to month.

Generate this bid proposal with AI

Paste the invitation to bid or describe the job, and our AI drafts the full bid from this template: cover letter, scope, exclusions, schedule and a pricing table with your line items and quantities. Your saved price items keep numbers consistent across every estimator on the team, which is what AI quoting software should do. Contractors who quote small jobs every day use the same flow as quoting software for small business.

Bid proposal template questions

What is the difference between a bid and a proposal?

A bid is mainly a price for a scope the buyer already defined, and it is often judged on price and compliance. A proposal usually describes your approach as well and can be judged on value. Many requests mix both, so this bid proposal template includes scope, qualifications and pricing.

What should a bid proposal include?

A cover letter with the solicitation number and total price, qualifications, your understanding of the project, the scope of work, exclusions and assumptions, a schedule, a pricing table with quantities, payment terms, warranty, a validity date and an acceptance block.

How long should a bid stay valid?

Thirty to ninety days is common, and public tenders often set the period for you. If material prices are volatile, hold them for a shorter, stated period and say that they may be updated after it.

Can I send a bid proposal for electronic signature?

Yes. ProposalCreation sends the bid as a tracked link or PDF, shows when the buyer opens it, and collects a legally binding electronic signature under the U.S. ESIGN Act and UETA with an audit trail. Public agencies may still require their own submission portal.
