Business proposal template with every section written out

A business proposal is the document you send a company to win paid work: it restates the client's problem, recommends a solution, defines the scope, prices it and asks for a signature. Use it after a discovery call or when a prospect asks "send me something in writing". The business proposal template below is complete, so you can copy it as is and change only the parts in square brackets.

How to fill in the business proposal template

Work top to bottom, but write the executive summary last, once every number is final.

  • Cover page: use the client's legal company name and a project title that names the outcome, not the service. Set a validity date two to four weeks out so prices do not stay open forever.
  • Executive summary: five sentences. Goal, current situation, your solution, price and next step. A decision maker who reads only this paragraph should be able to say yes.
  • The challenge: quote the client's own words from your call notes. If you cannot name three issues, name the ones you have; do not invent a third.
  • Proposed solution: tie every part of the solution back to an issue. If a part does not solve anything the client mentioned, move it to optional add-ons.
  • Scope of work: list deliverables as things the client receives, then list what is excluded. The exclusions line prevents most later disputes.
  • Timeline: name a milestone and an approver for each step, and state how long the client has to give feedback.
  • Pricing: one row per deliverable, a quantity on every row, optional items marked as optional and a single total. State payment terms right under the table.
  • Why us and terms: keep these short and specific to this client. Generic company history belongs in your content library, not in every proposal.
  • Next steps and acceptance: one action, one date, one signature block per signer.

Common business proposal mistakes to avoid

  • Opening with your company history instead of the client's problem.
  • A scope with no exclusions, which turns every extra request into an argument.
  • Prices without quantities, or a total that does not match the rows.
  • No validity date, so a quote from last spring is still "open" in the client's inbox.
  • Several possible next steps instead of one clear request to sign.
  • Sending a PDF and never knowing whether anyone opened it. A tracked link shows when the client reads the pricing section, which tells you when to follow up.

Template

Business proposal

Your documents stay yours. We never train AI models on your proposals.

What should a business proposal include?

A cover page, an executive summary, the client's challenge, your proposed solution, scope with exclusions, a timeline with milestones, a pricing table, terms, next steps and a signature block. The template on this page includes all of them in that order.

How long should a business proposal be?

As long as the decision needs and no longer. For most service deals that is three to eight pages. The executive summary should fit in one paragraph, because many decision makers read only that and the pricing table.

Is this business proposal template free to use?

Yes. You can read and copy the template on this page without an account. Generating a proposal with our AI, sending it as a tracked link and collecting e-signatures are part of the paid plans, and the homepage offers one free proposal preview without a card.

Can I add my own branding to the template?

Yes. In ProposalCreation you upload your logo, colors, fonts and a few past proposals once, and every draft generated from this template follows your brand and voice.
