Consulting proposal template for independent consultants and firms

A consulting proposal turns a discovery conversation into a decision. It shows the client that you understood their situation, states the outcome they are buying, explains how you will get there, and offers a fee they can approve. Use it after the first or second meeting with a prospect, when you know the problem, the decision maker and the budget range. The template works for strategy, operations, finance, HR, technology and marketing consulting, whether you bill a fixed fee, a retainer or by phase.

How to fill in the consulting proposal template

A consulting proposal sells an outcome, so write every section from the client's side of the table.

  • Current situation. Use phrases the client said in discovery. When they read their own words back, they trust that you listened, and the cost of doing nothing becomes obvious.
  • Objectives. Write three at most, each one measurable or tied to a decision and a date. Vague goals lead to scope creep and arguments at the end.
  • Approach. Show phases with durations, not a list of every task. The client buys confidence that you have a method, not your project plan.
  • Deliverables. Name each artefact the client receives and when. This is the line you will point to when someone asks whether the work is done.
  • Team. Introduce the people who will actually do the work and describe only experience you have the right to share.
  • Investment and options. Price by phase or by outcome rather than by hour where you can, and give two or three options so the conversation is about which one, not whether.
  • Terms. Cover payment timing, expenses, notice and confidentiality in plain sentences.

Common mistakes in consulting proposals

  • Opening with your company history instead of the client's situation.
  • Listing activities without deliverables, so nobody can tell when the engagement is finished.
  • A single take it or leave it fee with no options.
  • No named sponsor on the client side, which leaves the project without a decision maker.
  • Sending a long document after a short meeting while the client still expects a quick summary.

Consulting proposal template questions

How long should a consulting proposal be?

Long enough to cover the situation, objectives, approach, deliverables, fees and terms, and short enough that the sponsor reads it in one sitting. Four to eight pages is typical for a mid-size engagement.

Should I charge hourly or a fixed fee in a consulting proposal?

Fixed fees per phase or per outcome are easier for clients to approve and keep the focus on results. Hourly or daily rates still suit open-ended advisory work, which you can offer as an optional retainer line.

Why include several fee options?

Options give the client a choice between levels of scope instead of a yes or no decision. A diagnosis-only option also gives cautious buyers a smaller first step.

Can the AI follow my own consulting style?

Yes. You upload two or three of your past proposals and voice notes once, and every draft follows your structure, wording and terms. You can rewrite any section with AI to make it shorter, more formal or more detailed.
