Event proposal template for planners and venues

An event proposal tells a client exactly what event you will deliver, where and when it happens, who does what on the day and what it costs. Use it after the first discovery call for a conference, corporate offsite, product launch, gala or wedding, once you know the date range, the guest count and the rough budget. The template below covers every section a client or procurement team expects, so you can copy it, fill in the fields in square brackets and send it the same day.

How to fill in the event proposal template

Work from top to bottom and keep every figure consistent across sections. The guest count, the date and the total price should match in the summary, the budget table and the payment schedule.

  • Cover page. Use the client's name for the event, not your internal project code, and always set an expiry date because venue holds and vendor quotes expire.
  • Executive summary. Repeat the goal the client gave you in their own words, then state the total price in one sentence so the decision maker sees it without scrolling.
  • Event goals. Write goals you can actually report on after the event, such as attendance, timing or a survey score both sides agree on.
  • Venue and logistics. Name the exact rooms and the setup and teardown window. Most disputes on the day come from access times nobody wrote down.
  • Run of show. Keep it to the main blocks. The minute-by-minute version belongs in the production schedule you share after signature.
  • Services included. List what you deliver and leave out what you do not, so the client knows which vendors they still need to book.
  • Event budget. Show per-guest and per-day items with quantities so the client can see how the total moves if the guest count changes. Put optional upgrades on separate lines.
  • Payment schedule and cancellation. Tie each payment to a date and say plainly which costs stay payable if the event is cancelled.

Common mistakes in event proposals

  • Quoting a total without quantities, which makes every guest count change a new negotiation.
  • Forgetting setup and teardown time in the venue section.
  • No named decision maker on the client side, so approvals stall in a group email.
  • A run of show that promises timings the venue contract does not allow.
  • No expiry date, so the client signs weeks later at prices that no longer hold.

Event proposal template questions

What should an event proposal include?

A cover page, an executive summary with the goal and the total price, event goals, venue and logistics, a run of show, the services included, client responsibilities, a budget table with quantities, a payment schedule, cancellation terms, next steps and a signature block.

How do I price an event in a proposal?

Break the total into venue, catering per guest, production, decor, staff per day and your planning fee, each with a quantity. Clients can then see how the price changes with the guest count, and optional upgrades sit on their own lines.

Can I use this event proposal template for weddings?

Yes. Keep the same structure and rename the sections to fit, for example ceremony and reception instead of keynote and breakout. The budget table, payment schedule and cancellation terms work the same way.

Can the client sign the event proposal online?

Yes. When you create the proposal in ProposalCreation you send it as a tracked link, and the client signs it with a legally binding electronic signature under the U.S. ESIGN Act and UETA, with an audit trail attached.
