Responsive RFPIO pricing and what small teams pay for RFP software instead
Responsive, the company formerly known as RFPIO, lists one price on its pricing page. The Emerging edition starts from $10,000 a year. The Growth and Enterprise editions say "contact sales." The price is built from a platform fee, user licenses and add-ons, so your real quote depends on how many people respond to bids. A small team that answers a few RFPs a month can get RFP import and AI drafted answers for $1,788 a year with ProposalCreation Business.

How much does Responsive RFPIO cost
Responsive sells three editions. Only the first shows a number. This is what the pricing page says as we read it in October 2026.
| Edition | Published price | What the page lists |
|---|---|---|
| Emerging | From $10,000 | Unlimited response projects, AI and automation studio, unlimited content and collaboration, integrations and access control, admin, reporting and support |
| Growth | Contact sales | Everything in Emerging, plus intake requests, lookup and eSignature, advanced integrations, advanced access controls, premium deployment and support, flexible hosting |
| Enterprise | Contact sales | Everything in Growth, plus custom AI, enterprise security and controls, advanced reporting, premium connectors |
The page does not state how many users each edition includes. That is the missing piece for budgeting, because the platform fee is only one of the three components.
What drives the Responsive price
Responsive describes its pricing as three components, and each one moves the quote.
- Platform fee. The base cost of the edition, which is where the "from $10,000" figure sits.
- User licenses. A bid team with a proposal manager, a few sales engineers and security reviewers needs more licenses than a two person team, and each one adds to the total.
- Add-ons and services. Onboarding, premium support and extra connectors are sold on top.
Software sold by quote is also usually priced for a multi-year term. If you do request a quote, ask for the renewal price, the license count and the cost of each add-on in writing before you compare it with anything else.
Who gets value from Responsive
Responsive is built for teams where RFPs and security questionnaires are a weekly job. If you have a proposal manager, hundreds of answers owned by subject experts and a review process that must be tracked, paying five figures is reasonable, because a day saved on each response adds up quickly.
It is harder to justify when bids are occasional. A company that answers three RFPs a month spends perhaps 20 to 40 hours a month on them. If software halves that, the saving is worth a few thousand dollars a year, not ten thousand or more.
What small teams pay for RFP software instead
Here is how published prices compare for a team of up to 15 people. ProposalCreation prices are list prices on annual billing.
| Option | Public price | Seats | RFP import and AI answers |
|---|---|---|---|
| ProposalCreation Business | $1,788 a year ($299 a month billed monthly) | 15 included | Yes, up to 60 pages per RFP |
| ProposalCreation Enterprise | $4,788 a year | 50 included | Yes, up to 200 pages per RFP |
| Responsive Emerging | From $10,000 a year | Count not published | Yes |
| Loopio Foundations | Quote only, about $20,000 by third-party data | 10 included | Yes |
ProposalCreation is a proposal tool first. It imports an RFP, extracts the questions and requirements with their section numbers, drafts answers from your shared content library and exports the response as a formatted proposal with a pricing table. It does not replace a managed answer library with named owners and review cycles. For the full comparison, read our Responsive alternative page, and for more tools see the guide to the best RFP software for small business. The Loopio side of the same question is covered in Loopio pricing.
How to decide before you ask for a quote
Count your RFPs. Look at the last 12 months and write down how many you answered, how many hours each took and how many people touched them. If the answer is fewer than three a month, a quoted platform is probably oversized.
Then decide what else the tool must do. If the same people also write sales proposals and quotes, a tool that covers both saves a second subscription. If you need formal approval chains, a library with owners and security questionnaires every week, ask Responsive and Loopio for quotes and compare them with the prices above.
Questionnaires deserve a separate look. Many ask for evidence that you can show only if your controls are already documented, and a team that needs to map its controls to SOC 2 before the next bid will answer them faster than any answer library can. Finally, test with a real bid. Paste an RFP you are working on into a tool, see how many answers come out usable and how long the review takes.
Responsive RFPIO pricing questions
How much does Responsive RFPIO cost?
Responsive lists its Emerging edition from $10,000. The Growth and Enterprise editions are quoted through sales. Its pricing page says the price combines a platform fee, user licenses and add-ons and services, so the final number depends on your team size.
Is RFPIO the same as Responsive?
Yes. RFPIO renamed itself Responsive. Review sites and older articles still use the RFPIO name, but the product, the editions and the pricing page are the same platform.
Does Responsive have a free trial?
The pricing page directs buyers to contact sales rather than start a self-serve trial. ProposalCreation lets you preview a drafted proposal without a card and publishes every plan price on one page.
Is there a cheaper alternative to Responsive?
Yes. For a small team that answers a few RFPs a month, ProposalCreation Business costs $1,788 a year billed annually with 15 seats and RFP import up to 60 pages. Teams with weekly RFP volume and formal content owners may still prefer Responsive or Loopio.
Can ProposalCreation replace Responsive?
For a small team that answers a few RFPs a month and also sends sales proposals, yes. It imports the RFP, drafts answers from your library and sends a signed response. It does not replace a managed library with named content owners for a dedicated weekly bid desk.
