Proposify pricing per user and what a team of 5 to 15 really pays

Two colleagues checking a printed price catalog while entering a quote on a laptop

Proposify charges per user. Its pricing page lists Build at $39 per user per month billed annually ($49 monthly), Grow at $65 per user per month on annual billing, and Scale at $12,800 a year with 10 users included and $780 for each extra user. A team of five on Grow pays $3,900 a year, and ten people on Build pay $4,680. A team that wants AI drafted proposals at a flat price can use ProposalCreation Growth at $888 a year for five seats.

How much does Proposify cost

Proposify sells three plans. This is what the public pricing page says as we read it in November 2026.

Plan Monthly price per user Annual price per user What the page lists
Build $49 $39 per month ($468 a year) Unlimited documents and e-signatures, content library, AI and MCP server, document insights, integrations and automations, product catalog
Grow $65 $65 per month, billed annually ($780 a year) Everything in Build, plus user roles and permissions, approval workflows, account metrics, custom fields and variables, API access
Scale $107 Platform fee of $12,800 a year with 10 users Everything in Grow, plus premium integration add-ons, SSO, multiple workspaces, custom reporting, a dedicated success manager and priority support

Extra users on Grow and Scale are listed at $780 a year each. Two extras show up on the page: custom template design at $1,500 and a Grow launch kit at $2,000. The page also shows monthly send limits with overage charged per send, and the schemes it lists do not map cleanly onto the three plans, so confirm your send allowance with sales before you sign.

What Proposify costs for 1, 5, 10 and 15 users

Yearly cost on annual billing, from list prices, before the one time extras above. Scale is shown only where it makes sense, because the fee covers 10 users.

Team size Proposify Build Proposify Grow Proposify Scale ProposalCreation plan ProposalCreation per year
1 person $468 $780 not sold per user Starter $288
5 people $2,340 $3,900 not sold per user Growth $888
10 people $4,680 $7,800 $12,800 Business $1,788
15 people $7,020 $11,700 $16,700 Business $1,788

The Scale figure for 15 people is $12,800 plus five extra users at $780. Approval workflows start at Grow, so a team that needs sign off before a proposal goes out cannot stay on Build. Our own plans limit AI work per month (for example 70 AI drafts and 300 section rewrites on Growth), while sending stays unlimited. See every limit on the ProposalCreation pricing page.

What pushes the Proposify price up

Four things move the bill more than the headline price.

  • Seat count. Every person who edits or sends a proposal needs a license, and on Grow and Scale each extra user is $780 a year.
  • Approval workflows. A manager who must sign off on discounts forces the team onto Grow, a $26 per user per month step up from Build on annual billing.
  • Integrations. Salesforce is a premium add-on, and SSO is only on Scale.
  • Setup. Custom template design at $1,500 and the Grow launch kit at $2,000 are separate line items.

A five person agency that starts on Build at $2,340 and later needs approvals ends up on Grow at $3,900. That is worth it if you use the approval flow every week and a waste if only one person ever sends proposals.

Who should pay for Proposify

Proposify is a mature product and the price fits some teams well.

  • A sales team with a manager who must approve discounts and wants a record of every approval.
  • A company on Salesforce that wants proposals tied to opportunities and is willing to pay for the add-on.
  • An enterprise that needs SSO, multiple workspaces and a named success manager.

If that describes you, Proposify Grow or Scale is a reasonable buy. Our Proposify alternative page compares the two on features, and says plainly where Proposify wins.

Cheaper options for a team that mostly needs good proposals

The cost question usually hides a time question. Most small agencies and consultancies do not need approval flows. They need the proposal written faster.

  • ProposalCreation writes the full draft from a brief, call notes or an RFP: scope, timeline, pricing table and terms in your company style. Starter is $24 per month billed annually for one seat, Growth is $74 for five seats, and Business is $149 for 15 seats.
  • Better Proposals starts lower for one person, with send limits that matter once you pass 10 proposals a month. See the Better Proposals alternative comparison.
  • Bonsai bundles invoicing and time tracking with proposals on Essentials at $19 per user per month annually. See the Bonsai alternative comparison.
  • Qwilr suits teams that sell on designed web pages. See the Qwilr alternative comparison.

For a team of ten, the ProposalCreation Business plan costs $1,788 a year against $4,680 on Proposify Build and $7,800 on Grow.

How to decide before you buy

Count the proposals your team sends in a month and the hours each one takes to write. Multiply the hours by what that time is worth to you, then compare that figure with the yearly price difference in the table above. If drafting is the bottleneck, a tool that writes the first version pays for itself quickly. If sign off is the bottleneck, pay for approvals.

Once the proposal is signed, the next job is usually the contract. A tool that reads every clause for risks, like AI contract review software, saves your lawyer billable hours on the master services agreement that follows. Whatever you choose, ask for a trial with your own deal in it, not a demo account.

Proposify pricing questions

How much does Proposify cost per user?

Proposify Build is $39 per user per month billed annually or $49 monthly. Grow is $65 per user per month on annual billing, which is $780 a year. Scale is a $12,800 a year platform fee that includes 10 users, with extra users at $780 a year each.

Does Proposify have a free plan?

The pricing page offers a 14 day trial of Build with no card needed, and no free plan. After the trial you pay per user. ProposalCreation offers one free proposal preview with no card, then plans from $24 a month billed annually.

Is Proposify worth the money?

It is worth it for teams that use approval workflows, Salesforce and role permissions every week. For a small agency that only needs good looking proposals sent quickly, the per user price adds up fast, and a flat team plan with AI drafting costs far less.

Does Proposify include AI?

Yes. The pricing page lists AI and an MCP server from Build. ProposalCreation includes the AI writer on every plan and drafts the whole proposal from a brief, then rewrites any section on request.

What is the cheapest Proposify alternative?

For one person, Better Proposals or Bonsai Essentials cost less than most tools. For teams of three to fifteen, ProposalCreation Growth at $888 a year for five seats and Business at $1,788 for 15 seats are usually cheaper than per user pricing.

Does Proposify charge for each send?

The pricing page shows monthly send limits with overage charged per send, though the plan mapping is unclear on the page. Ask sales for the allowance on your plan. ProposalCreation has unlimited sending on every plan.
